Automatically Collect Reviews After Every Job

Why Most Businesses Collect Too Few Reviews

You delivered a satisfied customer. The work was done well, the client is happy. And yet no review appears on Google. Not because the client was dissatisfied, but because nobody asked at the right moment.

This is the most common problem with reviews: the intention is there, the momentum is not. A client who receives an email three days after a job is already moved on. The barrier to writing a review feels higher than it actually is.

The good news: this is exactly the kind of problem you can automate.

How an Automated Review Flow Works

A review automation works on the basis of a trigger, a message and a follow-up step. In concrete terms, it looks like this:

1. The trigger A job is completed. In your system you mark the assignment as finished, an invoice is sent, or an appointment is closed. This moment is the trigger for the automation.

2. The first message The client receives a personal message within minutes, via email or WhatsApp, with a direct link to your Google review page. No detours, no searching. Just: click and write.

3. The follow-up If the client has not left a review after two or three days, a friendly reminder is sent automatically. Not pushy, but present at the moment it is still relevant.

4. Processing New reviews come in and are automatically logged in your CRM or dashboard. At a glance you can see how many reviews come in each week and through which channel.

For businesses already working with tools like GoHighLevel, this is relatively straightforward to set up. In the article Connecting GoHighLevel to an AI Agent: What’s Possible? you can see how to enrich these kinds of flows with AI to make messages more personal and relevant.

What You Need to Set This Up

You do not need complex technology for this. What you do need:

• A system in which you track clients and assignments, a CRM or project tool
• A direct link to your Google Business Profile where clients can leave a review immediately
• A way to send messages, via email, WhatsApp Business or a combination
• A workflow tool that connects the trigger to sending messages

Tools like n8n make it possible to connect this without programming knowledge. You define when something is a trigger, which message goes out and after how much time a reminder follows. Everything then runs automatically.

WhatsApp or Email?

Both channels work, but they perform differently depending on your industry and target audience.

• WhatsApp has higher open rates and works well for service-oriented businesses with a personal character, such as installers, contractors, coaches or therapists. Keep in mind the rules around WhatsApp Business, which we discuss in more detail in Automating WhatsApp Business: what’s allowed and what works.
• Email works well for B2B clients or situations where the relationship is more formal. It is easier to scale and requires less opt-in from the recipient.

Many businesses choose a combination: WhatsApp as the primary channel, email as a fallback.

Collecting Testimonials for Your Website

Beyond Google reviews, detailed testimonials are valuable for your website and sales presentations. A simple follow-up step in your flow can be: clients who have left a Google review receive a second message a week later asking whether they would like to provide a short quote that you may publish on your website.

This can be linked to a short form, via Typeform, a custom web page or a form in your CRM. Submissions are stored automatically, so you only need to select which ones you use.

What to Put in a Testimonial Request

Clients write better testimonials when you give them a direction. Ask two or three concrete questions:

• What was the situation before you started working with us?
• What did the collaboration deliver for you?
• Would you recommend us, and why?

With that structure you get testimonials that are concrete and build trust, rather than vague sentences about good service.

What You Should Not Do

A few pitfalls to avoid:

• Waiting too long: a review request that arrives a week later does not work. Send it within 24 hours of closing.
• Asking too much at once: ask for the review first, then for a testimonial or referral. Do not stack it all into one message.
• Generic messages: a message that is clearly a template generates little enthusiasm. Use at least the client’s name and refer to the specific project or service.
• No follow-up: one message is rarely enough. A friendly reminder after two days doubles the number of responses in practice.

Connecting with Your Broader Approach

A review flow rarely stands alone. It fits within a broader automation of the customer journey, from first contact to post-project follow-up. On /#wat-we-doen you can see how NRL Automations designs these kinds of flows as part of a coherent approach, where we first look at where time and revenue are leaking before applying technology.

Because a review automation that breaks down because the CRM connection is not right, or messages that go out at the wrong moment, creates more frustration than doing it manually.

Collecting Reviews Is Not a Side Issue

For many Dutch service businesses, a strong online reputation is the difference between a full calendar and a silent phone. Yet systematically collecting reviews falls behind, simply because no one thinks about it every day.

Automation solves that. Not by replacing human contact, but by sending the right request at the right moment, without you or your team spending time on it.
